Privacy

What PhotoQ keeps about you when you order, ask a question or open an account, who else handles it, and how long it stays.

What we collect

Only what an order or a question needs.

  • Your name, email address and phone number, and a delivery address when we post to you.
  • The photos and files you upload, and any words or designs you add to them.
  • What you ordered, when, and the PayPal payment reference. We never see or store card numbers.
  • If you open a My PhotoQ account: your email address, which we confirm with a one-time code. There is no password to keep.
  • Whether you have asked for our occasional emails. That is off unless you tick it.
  • Anything you write to us through the contact form, by email or on a postal order form.

What we use it for

To make your order, tell you how it is going, post it or have it ready at the counter, send your tax invoice, answer your questions and keep the records a business must keep. We send marketing emails only to people who have asked for them, and every one has an unsubscribe link.

We do not sell your details and we do not run advertising networks.

Your photos

Only you and the lab see them. Staff open them to make your order and for nothing else.

Uploaded photos are deleted from our servers 90 days after the order is collected, posted or cancelled. A cart you start and do not finish is cleared after 7 days. The record of the order (what, when, how much) is kept. The lab also keeps a copy of each order on the shop's own computers so we can reprint it for you; ask us if you would like that copy deleted.

Photos from a phone or camera can carry hidden details such as the date and the place they were taken. We do not use that information, but we do not remove it either. If you would rather it never left your phone, strip it before you upload.

Who else handles it

A small number of companies help us run the site. Each gets only what its job needs.

  • DigitalOcean, Sydney: the computers the site runs on and the storage your photos sit in.
  • Cloudflare: delivers the website and protects it from attacks.
  • PayPal: takes your payment. Card details go to PayPal, not to us.
  • An email service sends our order emails and our sign-in codes.
  • Australia Post, for postage labels and tracking when we post to you.
  • Melbourne Online, who build and look after the website, can see the information when they are supporting it.

Cookies and visitor counts

The site sets only the cookies it needs to work: one that remembers your cart for 14 days, one that keeps you signed in to My PhotoQ for 7 days, and one that opens your receipt or postal slip for 14 days. There are no advertising cookies.

We count page visits on our own server to see which pages are useful. That count uses no cookie, keeps no personal details, respects your browser's Do Not Track and Global Privacy Control settings, and is pruned after 90 days. No visitor data goes to Google or any other analytics company.

Where it is kept

Your information and photos are stored in Australia. PayPal, Cloudflare and our email service are international companies and may handle information outside Australia under their own privacy policies.

Your choices

Email [email protected] to see what we hold about you, to correct it, or to have your account and details removed. We will answer within a few business days. Marketing emails stop the moment you click unsubscribe.

If you think we have handled your information badly, tell us first and we will put it right. You can also raise it with the Office of the Australian Information Commissioner at oaic.gov.au.
